About The Role

WaitWhat is seeking an Audience and Events Marketing Manager to build and grow the audience for Masters of Scale Summit and other WaitWhat experiences. This role owns the full attendee journey—from building and recruiting an extraordinary audience to executing the marketing campaigns that drive registration and delivering an exceptional attendee experience.

The ideal candidate brings an audience development mindset: you know how to develop community, increase conversion, and drive registration through a combination of thoughtful outreach, founder recruiting, partner engagement, and strategic marketing.

You'll combine relationship-driven audience development, strategic marketing, CRM operations, and event registration execution to assemble one of the world's most influential communities of founders, executives, investors, innovators, and cultural leaders.

Reporting to the Sr. Director of Marketing and Audience Development, you'll work cross-functionally with editorial, design, partnerships, production, and leadership, with significant autonomy.

Responsibilities 

Audience Development & Community Building
  • Build and grow the Summit audience through relationship-driven outreach, founder recruiting, strategic partnerships, alumni engagement, and targeted marketing campaigns

  • Pull attendee history and lifecycle data from HubSpot, deduplicating across internal lists, and coordinating high-touch invite campaigns 

  • Partner with the Sales and Partnership team to expand audience acquisition through referrals, ecosystem partnerships, and new growth channels

  • Cultivate year-round relationships with alumni, partners, referral sources, and ecosystem leaders, while serving as a trusted ambassador for WaitWhat's experiences

  • Marketing Strategy & Campaign Execution
  • Own the Summit marketing calendar, including registration campaigns, promotional pushes, partner activations, and audience growth initiatives

  • Develop integrated marketing campaigns across email, web, social, newsletters, and paid channels—from strategy and messaging through creative briefs, production, and execution

  • Manage the internal review and approval process for campaign materials, exercising judgment on when to escalate to senior leadership

  • Track campaign performance and conversion metrics, continuously optimizing messaging, segmentation, and audience acquisition strategies

  • Attendee Experience & Communications
  • Own attendee communications across the full event lifecycle, from registration confirmation through post-event follow-up, developing communication strategies that create a premium attendee experience

  • Serve as WaitWhat’s primary point of contact for Summit attendees, providing prompt, polished, and high-touch customer service to executives and founders

  • Coordinate communications across speakers, partners and operations.  Gather attendee feedback through post-event surveys and translate insights into improvements for future experiences

  • Registration & Marketing Operations
  • Own HubSpot and registration operations, including workflows, automation, billing, reporting, discount codes, and attendee lifecycle management

  • Oversee data integrations between HubSpot and event platforms, including attendee data pushes, badge category assignments, and on-site check-in readiness

  • Triage escalated customer service inquiries from the contract support team, resolving registration and application issues through HubSpot due diligence

  • Build reporting dashboards and provide regular insights on audience composition, pipeline health, conversion rates, and registration trends

  • Continuously improve systems, workflows, and operational processes to support future growth

  • Requirements
  • 6+ years of experience in audience development, event marketing, growth marketing, or community building, with a demonstrated track record of building and growing communities for high-profile in-person events; background in media, content, or entertainment industries a plus

  • Strong relationship-building instincts and proven ability to drive event registration and attendance through a blend of high-touch outreach, strategic partnerships, and data-informed marketing campaigns

  • Expertise with HubSpot, CRM strategy, segmentation, workflow automation, and data-driven campaign optimization

  • Strong editorial and copywriting skills with the ability to craft compelling, audience-appropriate messaging across channels, from executive-facing invitations to broad promotional campaigns

  • Proven ability to manage complex, multi-stakeholder projects with competing deadlines and shifting priorities; you are exceptionally organized, detail-oriented, and comfortable holding others accountable to timelines

  • Familiarity with event technology platforms and comfort managing data flows between CRM and event registration systems

  • Executive presence and exceptional communication skills, with experience working alongside senior leaders, partners, and high-profile talent.

  • Personal interest in entrepreneurship, business leadership, innovation, and emerging technologies

  • Comfort operating with a high degree of autonomy in a lean, distributed team; you know when to make the call and when to flag it

    About The Role
     
    The Pioneers of AI Lead Producer is a creative, collaborative swiss army knife who is a key member of WaitWhat’s production team. The Lead Producer’s superpower is interview crafting – knowing how to elegantly and efficiently produce the hybrid audio and video format of the show. We are looking for a sharp editorial mind, keen ears, and a versatile, adaptable can-do attitude. 

    The producer will also take part in guest curation, idea-generating, script writing, and shaping the editorial voice of the show; you will be a teammate of a creative cross-disciplinary team. This role is an ideal fit for someone who is curious and passionate about investigating the way AI is transforming our world – with a sense for exceptional innovators and thought leaders who will provide valuable perspectives for our audience.

    The Lead Producer will report to the Executive Producer of Pioneers of AI and will work alongside a team including a talent booker, video editor, and mix engineer.

    Responsibilities
  • Pitch guests and episode topics

  • Work closely with the host on the editorial voice and format of the show

  • Manage the show's production workflow and schedule to ensure timely publishing

  • Collaborate with the video editor, mix engineer, and talent booker, and delegate tasks within the team

  • Direct host in interview recordings

  • Edit episode audio in Descript and assemble sessions in ProTools

  • Coordinate with mix engineer on episode sound design, mix and mastering

  • Outline and draft scripts for host

  • Maintain voice of show across platforms (with support of Editor/EP and Host)

  • Handle recording logistics, including booking studios and sending out recording kits 

  • Coordinate with video editor, giving editorial direction and feedback to episode videos

  • Collaborate with marketing team on preparing social media and promotional assets for the show

  • Participate in creative ideation, brainstorming and supporting general WaitWhat franchise extensions such as live events and webinars

  • Work alongside video, design, technology, events, audience engagement and all WaitWhat teams on content creation, production, management, and promotion

  • Support the EP of Pioneers of AI in sharing timely updates with the team that include content, data and goals, and budget 

  • Be service-oriented with internal and external partners

  • Requirements
  • 5+ years audio production experience in podcasting or radio, specifically with deadline-oriented interview formats; previous experience lead producing a show preferred

  • A passionate curiosity and thoughtfulness about cutting-edge technology and its role in society

  • Demonstrated experience in working effectively with hosts

  • A love for working “in tape”

  • A genuine interest in entrepreneurial stories and a belief in the value they bring to listeners 

  • Excellent Pro-Tools editing experience required

  • Fluency with Descript (or similar) and a Descript-to-ProTools workflow

  • A proactive, collaborative, and constructive problem solver 

  • A ferocious appetite to research and figure out tasks you may not be familiar with

  • Experience organizing media assets, directory structures, and maximizing post-production workflows

  • Time management skills to coordinate multiple projects

    About The Role
     
    WaitWhat is looking for a versatile, strategic Video Editor to create best-in-class video content across our properties, reporting to the Director of Digital Marketing and Video. You’ll edit across the full range of our video output: long-form podcast episodes, short-form social clips, sizzle reels, and live event visuals, collaborating closely with our content, marketing, production, live events, and design teams.

    This role requires a deep appreciation for visual and audio storytelling, a self-starting mindset, and the ability to bring your own creative interpretation and ideas while remaining true to each property’s editorial guidelines.
    Responsibilities
    • Edit and finalize full-length podcast episodes, short-form social clips, sizzle reels, and on-brand visual content for TikTok, YouTube, Instagram, Facebook, X, LinkedIn, and newsletters

    • Collaborate with content, marketing, and production teams to adapt podcast content into native video formats

    • Ensure high-quality video deliveries across all projects and platforms

    • Work with the live events team to create visually dynamic content for on-stage playback and associated digital formats

    • Explore new and innovative ways to tell stories across WaitWhat’s social channels

    • Curate, source, and organize required assets for final video delivery, including music, SFX, design, and b-roll

    • Apply graphic elements to videos using brand guidelines defined by the WaitWhat design team

    • Add and QC captions across all video content

    • Provide post-production services including color correction, audio cleanup, light mixing, media management (transcoding, asset curation), and platform deliveries

    • Receive and prioritize inbound video editing requests, clarifying requirements, specs, and deadlines with each requester

    • Deliver projects on quick turnaround timelines while maintaining high technical quality

    • Perform quality control checks before publishing or delivering any video content

    • Maintain clear, consistent communication to support a collaborative and creative work environment

    Requirements
    • 3–5 years of proven video editing experience for social and digital platforms

    • Strong proficiency with Adobe Premiere Pro, with a working knowledge of video and audio encoding, standards, and formats

    • Experience with structured media file management using platforms like Iconik, LucidLink, Frame.io, Google Drive, or Dropbox

    • Experience with project management tools like ClickUp

    • Proficiency in animation and motion graphics using After Effects, Motion, or similar tools

    • Experience formatting and troubleshooting video assets for social media platforms

    • Experience in color correction for all video types

    • Strong communication skills, both written and verbal

    • Fast and eager learner with critical thinking, problem-solving, time management, and multitasking skills

    • Deep understanding of digital trends, with a point of view on what will engage and grow audiences

    Preferred Qualifications
  • Experience in other areas of video production, including storyboarding, producing, and GFX

  • Basic audio and sound mixing knowledge

  • Familiarity with special effects, 3D, and compositing
